Privacy Policy

What this covers and what it does not

This policy is about the website. If you are already our client, the information in your clinical record is protected health information and is governed by a different and stricter document: our Notice of Privacy Practices.

What you send us through this site

Four things on this site collect information, and each one collects only what it needs.

• The appointment calendarYour name, phone, email, the day and time you picked, what the appointment is for, and anything you type in the notes field.
• The contact formYour name, email, phone if you give it, the subject you selected and your message.
• The eligibility checkChoosing your service and your insurance plan happens in your browser and is not sent anywhere. It only decides which form to open. What you then fill in goes to Google Forms.
• The job applicationHandled entirely by Google Forms, and used only to review your candidacy.

We use what you send to answer you, to schedule you, to verify your coverage or to review your application. Nothing else. We do not sell it, we do not rent it, and we do not hand it to advertisers.

Please keep clinical details out of these forms

A website form is a convenient front door, not a protected clinical channel. Give us your name, how to reach you and the general reason, and leave the diagnosis, the medication, the incident and the history for the phone call or for your first appointment, where the conversation is properly protected.

The same applies to WhatsApp. It is fine for asking a question or arranging a time. It is not the place for clinical information, and we will move that part of the conversation to a call.

What this site does not do

• No advertising trackers. No Meta pixel, no advertising tags, nothing that follows you to another website.
• No analytics that profile you. We do not run Google Analytics on this site.
• No advertising or tracking cookies, which is why you never see a cookie banner here.
• No outside fonts or scripts. The typeface and the code are served from this domain, so simply loading a page does not tell any third party that you visited.

The site stores nothing at all in your browser. Each language has its own address, English at the root and Spanish under /es/, so the page you open is what decides the language. There is nothing to clear.

Our hosting provider keeps standard server logs, including IP addresses, for security and for keeping the site running. Those are technical records, not a profile of you.

The outside services that touch your information

Naming them is the point. Each one has its own privacy policy, and once your information reaches them it is also governed by that policy.

• Google Forms and Google WorkspaceHold the eligibility form and the job application, and carry our email. Responses land in accounts we control.
• Our form delivery serviceTakes what you type in the appointment calendar and the contact form and delivers it to our inbox as an email. This is precisely why we ask you to keep clinical details out of those two forms.
• WhatsApp, owned by MetaIf you tap the chat button you are messaging us through Meta's service, under Meta's terms.
• Our hosting providerServes these pages and keeps the connection encrypted.

Mobile information and text messaging

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt in data and consent. This information will not be shared with any third parties.

If you agree to receive text messages from us they will be about your appointments and your care. Reply STOP at any time and they end.

Children

Much of our work is with children, and their information reaches us from a parent or a legal guardian, not from the child. This site is not directed at children and we do not knowingly collect information from a child through it. If you believe a child sent us something through the website, call us and we will delete it.

How long we keep it and how we protect it

Enquiries that do not turn into services are kept only as long as they are useful for answering you and then deleted. If you become a client, your information moves into your clinical record and is kept for the period Florida law and your insurer require.

The whole site is served over an encrypted connection, access to the inboxes that receive these forms is limited to the staff who handle them, and those accounts are protected with individual logins.

Asking us what we hold, or to delete it

Call the office or send an email and ask. We will tell you what we have from the website, correct it if it is wrong, and delete it if you want it gone and no law requires us to keep it. There is no charge and no form to fill in.

Changes to this policy

When this policy changes, the new version replaces this page and the effective date at the top changes with it. Material changes will be announced on the site.
